• Children are supervised at all times.

  • Our program uses positive, developmentally appropriate behavior guidance.

    • Emphasis on respect, safety, and emotional regulation

    • Redirection and problem-solving strategies are used

    • Physical punishment, humiliation, or threats are prohibited

    • Aggressive or unsafe behavior results in parent contact

    • Parents will be notified of ongoing behavior concerns

    • Behavioral plans may be developed when needed

    • Repeated unsafe behavior may result in temporary or permanent suspension with no refund.

    • Emergency numbers (911, poison control) will be readily accessible.

    • Parent/guardian emergency contact information will be available on-site.
      Staff will know how to contact the Center Operator and Center Agent.

    Medical Emergencies

    • Staff will assess the situation and provide first aid as trained.

    • Emergency services will be contacted if necessary.

    • Parents/guardians will be notified as soon as possible.

    • An incident report will be completed.

    Severe Weather

    • Staff will monitor weather conditions daily.

    • In case of severe weather (lightning, extreme heat, storms):

      • Outdoor activities will stop immediately.

      • Youth will move to a designated indoor or sheltered area.
        Activities will resume only when conditions are safe.

    Fire or Facility Emergency

    • Staff will lead youth to a designated safe meeting area.

    • Attendance will be taken immediately.

    • Emergency services will be contacted if needed.

    Youth will remain supervised until the situation is resolved or released to guardians.

  • Supervision & Staff

    • Camp participants will be supervised at all times by trained staff.

    • Staff-to-youth ratios will meet or exceed Minnesota DHS requirements.
      Staff will be positioned strategically during activities, transitions, and free play.

    • Attendance will be taken at the beginning of the day, during transitions, and before dismissal.

    Staff Training

    • All staff will receive training on:

      • Camp rules and expectations

      • Behavior management and positive guidance

      • Emergency procedures

      • Mandated reporter responsibilities

    • Lead staff will be trained in basic first aid and CPR (when required).

    Participant Safety Rules

    • Clear behavioral expectations will be explained to youth on the first day.

    • Horseplay, bullying, and unsafe conduct will not be tolerated.

    • Appropriate footwear and attire are required for sports activities.

    • Equipment will be used only for its intended purpose.

    Facility & Equipment Safety

    • Camp facilities and outdoor areas will be inspected daily for hazards.

    • Sports equipment will be checked regularly and removed if damaged.

    • Youth will remain within designated camp areas at all times.

    Health & Injury Prevention

    • Water breaks will be scheduled regularly, especially during hot weather.

    • Sunscreen use will be encouraged (parent-provided or self-applied).

    • Staff will monitor youth for signs of illness, fatigue, or heat-related issues.

    • Minor injuries will be treated with basic first aid and documented.

    Incident Reporting

    • All injuries, behavioral incidents, or safety concerns will be documented.

    • Parents/guardians will be notified as appropriate.

    Serious incidents will be reported according to DHS requirements.

    • Our program does not provide transportation. Children are dropped off and picked up by authorized adults.

    • Parents/guardians are required to check their child in and out using written documentation each day.

    • Optimize must be notified if an individual other than those on the child’s pick up list are picking up that day

  • Our facility is maintained to ensure child safety.

    • Indoor and outdoor spaces are inspected daily

    • Hazards are removed or secured immediately

    • Emergency exits are clearly marked and accessible

    • Equipment is age-appropriate and well maintained

    • Safety drills (fire, severe weather, Lockdown) are conducted as required

      • All daily, scheduled, or non-emergency medications must be administered at home by the parent/guardian.

      • Camp staff are not certified to administer medications. Campers must be able to self-carry and self-administer all medications.

  • We strive to provide a safe environment for children with allergies.

    • Parents must disclose all allergies prior to attendance

    • Allergy action plans are kept on file

    • Staff are trained to recognize and respond to allergic reactions

    • Reasonable steps are taken to prevent allergen exposure

    • Emergency procedures are followed and parents notified immediately if a reaction occurs

  • Cancellation & Refund Policy

    We understand that schedules can change. Please review our cancellation and refund policy carefully before registering.

    Registration & Payments

    • All registrations are processed on a first-come, first-served basis.

    • Payment is required at the time of registration to secure your child’s spot.

    • Weekly and multi-week packages reserve limited space and staffing.

    Cancellations & Refunds

    • Cancellations made 14 or more days prior to the start date of the selected week(s) are eligible for a full refund or credit, minus any processing fees.

    Weekly & Multi-Week Packages

    • Multi-week packages (6, 10, 12, or 13 weeks) are non-refundable once the program begins.

    • Unused weeks may be applied as a credit toward a future program, if notice is given at least 7 days in advance.

    • Credits must be used within the same calendar year and are non-transferable.

    Missed Days

    • No refunds or credits are given for missed days due to illness, vacation, or scheduling conflicts.

    • We encourage families to plan ahead when selecting weeks.

    Program Changes or Cancellations by Us

    • If a program is canceled by our facility due to unforeseen circumstances, families will receive a full refund or credit, based on preference.

    Weather & Facility Closures

    • Programs will run rain or shine.

    • In the event of an emergency closure, a make-up day or credit will be issued when possible.
